Retention is not the same as backup
Retention rules, version history and recycle bins serve different purposes. They can help recover changes within specific limits, but a business should not assume that every deleted item will remain recoverable indefinitely. Review the rules for each service you use.
Define what must be recoverable
Identify business-critical mailboxes, SharePoint sites and OneDrive data. Decide how much data loss is tolerable and how quickly access needs to be restored. Include former employees and shared workspaces in the plan.
Test the recovery process
